Contacts
Under each client object, you will find a Contacts object. Clicking the Contacts object will bring up a Contacts form in the right pane where you can enter contact information for that client.

To add a contact, right click anywhere in the grey box on the Contacts form. This will bring up a command menu.
Click New to bring up the Add a new Contact window, below:

Enter the contact's Name, Phone # (up to three) and E-mail address, if any, in this window. There is also a field to enter a Note related to the contact.
Checking the box next to any or all of the Receives e-mail Proposals, Invoices or Statements [030120] options will add this contact to the corresponding e-mail lists for that client. For example, if the contact is set to receive invoices and statements via e-mail, that contact is sent a copy each time the client is e-mailed an invoice or statement.
|
Note that a user must have a connection to the Internet and an e-mail account in order to use the e-mail feature.
|
Similarly, checking the box next to any or all of the Receives fax Proposals, Invoices or Statements [030120] options will add this contact to the corresponding fax lists for that client. For example, if the contact is set to receive proposals via fax, that contact is sent a copy each time the client is faxed a proposal.
The Fax to [030120] dropdown box lets you choose where to send the fax to. The default option, "Office Fax", uses the Fax number listed on the Client screen as the number the faxes will be sent to. Select the "Phone 3" option -- which corresponds to the Phone #3 field on the Add/Edit Contact window -- if you need the items faxed to this contact at a different number.
|
Note that a user must have a modem, phone line, and Symantec's WinFaxPro 10.x in order to fax.
|
To edit a contact, click anywhere on that contact, then right click. Select Edit from the command menu that opens up. This will bring up the Edit Contact information window.

This window works the same way as the Add a new Contact window.
To delete a contact, click on that contact, then right click. Select Delete from the command menu. You will recieve a warning asking you if you want to delete the contact. Clicking the Yes button will delete the contact PERMANENTLY.
