Inventory Defaults

To setup and edit Inventory defaults go to Maintenance -> Defaults on the top menu. The @Quote Plus Defaults window will open up. Click on the Inventory defaults tab.


Use the Inventory defaults tab to set up and edit the following information:

Inventory Tracking: Enables inventory quantity tracking in @Quote Plus 32.


Sync Sell Cost: If you choose not to differentiate between base and sell costs for materials, you should check this box to slave the sell cost to the base cost. Any changes to the base cost of an item thereafter, via the Add/Delete utility or when entering a new base cost on the Inventory screen, will automatically change the sell cost to match. Note that this only affects inventory items GOING FORWARD--it will not sync up previously entered base and sell costs.

Enforce Add/Del batch #'s: Check this box to require a Batch # be filled in when using the Inventory Add/Delete feature. Keeping the box unchecked makes the Batch # field optional.

Price Markup %: Set the percentage amount to be supplied as the default when using the Inventory Markup feature. For example, if you wish to mark up the inventory by 3% each time, you can set this value to 3.00 and the Inventory Markup window will come up with 3% by default each time.

Return Method: If Inventory Tracking is not used, this setting has no effect. This option determines the primary behavior of @Quote Plus 32 as far as deducting/returning materials to/from inventory. It offers three options for tracking inventory:
  • Dollar:   The Returns command will be enabled on the Job menu, and clicking it will cause @Quote Plus 32 to ask for a straight dollar value for unused materials returned from a job. This amount will appear in the Returns field on the Job screen, and will be deducted from the materials cost on the Job Cost reports. No changes are made to inventory quantities.
  • Grid:   The Returns command will be enabled as above, but clicking it will get you a grid displaying each material used on that job. You can enter the quantities returned (in tenths) of each material then click Accept to have @Quote Plus 32 calculate the dollar value of the returned items and add that value to the Returns field on the Job screen. If this option is used, @Quote Plus 32 will ask you at the time of printing the Work Order whether you want to deduct the materials from inventory. Answering Yes will cause the deductions to happen at that time.
  • Usage (recommended):   Enables the Usage button and the Usage command on the Phase screen and Phase menu, which can be used to track exactly what items were used, and will deduct them from inventory at that time-not when the Work Order is printed. For more information see Usage.
OOS Deductions: Only effective when the Return Method is set to "Usage". Determines how @Quote Plus 32 reacts when usage is keyed for an item that exceeds the quantity of that item on-hand in the inventory:
  • Ignore:   Will allow the user to exceed the amount on-hand, and will increase the back-order amount when this happens.
  • Warn Only:   Will alert the user when they are exceeding the amount of material on-hand, but will take no further action. Back-order will be increased when this occurs.
  • Restrict:   Will alert the user when they are exceeding the on-hand amount, and will restrict them from doing so. They will not be allowed to enter a quantity that will exceed the on-hand amount in inventory for that item.
Cost Method: Determines how @Quote Plus 32 handles the material cost changes when entering inventory via the Inventory Add/Delete utility:
  • Last In:   The new cost amount entered on the Add/Delete grid will directly replace the base cost for that item in inventory.
  • Average (recommended):   @Quote Plus 32 will perform a true average of the current base cost of the materials and the new cost on the Add/Delete grid, taking into account the quantities of each. This method will maintain the accuracy of the Inventory Value report.
Inventory Groups: Use this table to set the names that appear in the Group dropdown box on the Inventory screen. To add a new Inventory Group, simply click on the last row of the table and press the down arrow (↓) key on your keyboard, adding a new row. To edit an entry, click on the entry and type over it. To delete a group, select it and click the Delete button.

Use the Icon button to assign one of the predefined icons to that group. The icon you choose will show up next to all inventory items assigned to that group. [030203] @Quote Plus 32 comes with a number of standard inventory icons, including but not limited to, Certainteed, Johns Manville, Owens Corning, Knauf, Guardian, Rubbermaid, Closetmaid, Gas Grill (generic), Heatilator, Martin Fireplaces, Fi-foil, Polymaster Foam, and Lee Rowan.

If you find that you want an icon that has not been included in the list, you can create your own icons and add them to @Quote 32's BitMaps folder. Note that you must have a program that allows you to create icons to do this. Should you create an icon you would like to see to a future build of @Quote Plus 32, you can send us the icon, and we will be happy to include it in the next update.

Price level names: Use this table to set custom names for your pricing levels. These are the names of the Price Levels as they appear on the Inventory screen and in the Price Level dropdown lists on the Client and Job screens.

Clicking the Add button opens the Add Price Level Name window in which you enter the new name. Note that you can add an unlimited number of names. Also note that once added, you cannot delete or change the names.

The Calc button allows you to define price levels as a calculation. To do this, click on the Price Level you wish to define as a calculation. Next click Calc to open the Define Calculated Price Level window.


In the window, select Calculated. This will allow you to define the calculation formula (base or sell cost; plus or minus; percentage or dollar; and amount). Once you have set up your formula, click OK. Note that on the Inventory form, Price Level's that are calculated will be marked with an (*) asterisk.

NOTE: It is highly recommended that you set the Price Level names you know you will use BEFORE you begin entering ANY data into @Quote Plus 32.

Round prices up: Use this dropdown field to determine whether--and how--@Quote Plus 32 will round up all prices, including manual prices. You can round prices up to the "Next whole dollar," "Next five dollars" or "Next ten dollars." Choose "None" to handle prices as-is with pennies.
