Invoices

This feature allows you to create invoices that can be used to bill your clients.

To access invoices, simply click on File from the top menu, then Print, then Invoice. You can also access invoices by using the F3 "hot" key.

As with Proposals, you will first be prompted with a Retrieve screen. If desired, you can use the Retrieve screen to select a range of jobs to print invoices for. If you leave the Retrieve screen blank, @Quote Plus 32 will only print the phase selection for the current job.

After your Retrieve screen selection, the Select Desired Phase window will open up.

You can use this window to create a "partial" invoice, billing the client for specific phases rather than the entire job. To create a partial invoice, click once on the listed phase you wish to bill, highlighting it in blue, then click OK. This will give you a partial invoice that corresponds to the selected phase. To highlight more than one phase, hold down the Ctrl key while clicking on the desired phases. Click All to select all the listed phases. Note that whenever the last/remaining phases on a job are billed out, the invoice is automatically a "balance" invoice (rather than a "partial" invoice). This is to let you know that the job has been completely billed out.

Information on how to set up and edit the various defaults related to invoices can be found on the Invoices defaults tab.

Note that clicking on the Print button will give you a warning that, "By printing a hard copy of the invoice, you are indicating that it is finalized, and no further changes will be permitted." Choose OK to print the invoice; select Cancel to return to the invoice without printing. Once an invoice has been sent to the printer, the phases of the job that have been invoiced are "locked": no changes can be made to the data on those phases unless the invoice is reversed from the A/R to reopen the job.

See Printing for information on the Close, Print, Setup and Save buttons, Faxing for information on the Fax button, and E-mailing for information on the E-mail button.
