Add Phase Items


To add an item/sequence to a phase, simply right click anywhere in the grid box, which is locted on the bottom half of the phase form. This will open the grid menu box; select the Add command.


This will open the Add new items window.


The Add new items window contains the following fields and buttons:

Phase Name:
(Required)
The Phase Name field automatically defaults to the name of the current phase (i.e., the phase you were on when you clicked Add). If you are adding an item to the current phase, there is no need to make a change in this field.

The Phase Name field does, however, contains a dropdown list from which you can select a different phase to add the item to. If you select one of the Phase Names already in place for the current job, the item will be added to that phase. If you choose a new Phase Name, a new phase will be created.

Workarea:
(Required)
Select the appropriate Workarea name from the dropdown list. Selecting the Workarea name will cause the Difficulty level to default to what was defined for that name at Phases/Sequences defaults. If necessary, the Difficulty field, below, can be used to override the default level.

Installer Instructions: You can add special instructions to the installer of up to 100 characters. The Installer Instructions will appear as notes for this line item on the work order.

# Cavities
X Length:
[030306] These fields will be enabled if "Cavities" was your Amt entered by choice in Job defaults. To use this method, the user must also have rights to use "Cavities x Length method when entering items on Jobs". Rights are found on the User screen under "Allowed to edit Job information."

Enter the number of cavities required for the work area in the # Cavities field and the length of the cavities in the Length field. @Quote Plus 32 will calculate your square footage based upon these numbers as well the item multiplier. Therefore, you must make sure that the inventory item you select has a multiplier set in inventory or you will receive an invalid quantity error when attempting to add the item.

Note that if you enter # Cavities and/or Length it will overwrite anything you have in Amt Req and vice versa.

Width X
Length:
[030430] These fields will be enabled if you selected "W x L" in Job defaults. Enter the Width and Length of the work area in their corresponding fields. @Quote Plus 32 will calculate square footage based upon these number. Like Cavities, entering Width and Length will overwrite anything in Amt Req. Unlike Cavities, no item multiplier is used.

Amt Req:

This field will be enabled if you select Amt Req in Job defaults. Enter the amount of material required for the Workarea here. Note that you while you will see either # Cavities X Length or Width X Length on the Add/edit item screen, you will receive an invalid quantity error if you enter numbers in those fields rather than the Amt Req field.

Difficulty: The Difficulty level will directly determine how much money is contributed to the labor pool for this phase. This is based upon to the amount per sqft specified in inventory for that item at that difficulty level.

Opt: Checking the Opt field will make this item (Workarea) optional. The item will appear on the Proposal as an option, and its cost will be broken out separately and not added into the phase total or the total of the job.

Hide: Check this box to make sure the item is not displayed on any proposals or invoices. Use this feature to build items into the price of the job that you don't need the customer to see, such as jobsite cleanup, scaffold setup, extra travel time, etc. Note that if you select an inventory item that has its Hide field checked, the Hide field on the Add new items window is automatically checked.

P.O.#: You can specify a purchase order number for individual items by entering it in the P.O. # field. It will print for this item on the proposal and invoice.

Item:
(Required)
The Item field is really a group of fields and buttons that are listed under Item. These fields/buttons include Lookup, In-House Description, Cost/Unit, Price/Unit, Override, Labor Amt, Total, Charge, and Clear. Each of the individuals fields and button listed under Item is discussed in detail below.

Upgrade Item 1: This field works the same way as -- and contains the same group of fields and buttons as -- the Item field, but with all the information in the fields/buttons listed under it corresponding to Upgrade Item 1.

Upgrade Item 2: This field works the same way as the Item field, but with all the information in the fields and buttons listed under it corresponding to Upgrade Item 2.

Lookup: The Lookup buttons located under each of the Item fields works the same way for each. Use the button look up an item from inventory.

Clicking the button will bring up the Item Lookup window, which allows standard windows type searching (i.e., typing first few characters of the item will bring you to that inventory item).



The inventory list is sorted alphabetically by each item's in-house description. Once you have located and selected the desired inventory item, click OK to add the item to the corresponding Item or Upgrade Item field.

In-House Description: This field, located under the Lookup button, is blank until you select an inventory item from the Item Lookup window. Upon selecting your item, the in-house description of that inventory item will fill this field.

Cost/Unit: This is the cost per unit from inventory. This is either the inventory base cost or sell cost, depending upon the user's rights regarding the Base Cost.

Price/Unit: This is price per unit from inventory based on Price Level you selected for the job.

Override: This field can be used to specify a manual price per unit if you don't like the one the system derives from inventory. This field will only be enabled if you have been granted the ability to change the pricing level for jobs on the Users screen.

Labor Amt: The amount of dollars per square foot that will be paid into the labor pool from this item. The amount is derived from the Difficulty level selected above for this Workarea and the corresponding the Difficulty Levels amount set up in inventory for the selected inventory item.

Total: The amount the system calculates the customer will be charged for this sequence, based on the square feet entered, the price level and difficulty level chosen, and the rules set up in defaults.

Charge: Use the Charge field to manually price an item if you don't like the calculated price. You will only be able to edit this field if you have been granted the ability to change pricing levels for jobs on the Users screen.

Note that for Upgrade Items, this field allows you to manually price the total amount the customer would be charged if he selects this optional item, and the system will display it on the Proposal as "Add'l $x.xx". For example, if the selected item totals $500.00 and the total charge for the upgrade item needs to be $700.00, enter 700.00 in the Add'l Charge field for the upgrade, and the Proposal will show "Add'l $200.00" when printed.

Clear: This button will clear all the fields under the corresponding Item or Upgrade Item field.

Accept: Click this button to save your batch when you have finished entering items. @Quote Plus 32 will warn you if it finds any errors in your batch, otherwise it will add all the items to the appropriate phases -- creating any new phases you have specified in the batch -- in the order you entered them.

VCR: In order to allow you to add multiple items/sequences to a phase without having to Accept each one individually--as well as to allow you to move between the various items you have added, the Add new items window has standard navigation buttons that look like the buttons of a VCR (going forward, we will refer to them as the "VCR" buttons). Note that the VCR buttons don't show up in "Edit" mode, because you are editing that item rather than entering a new batch.


The VCR buttons and their functions are:

The First Record "VCR" button takes you to the first record you have added to the batch.

The Previous "VCR" button is similar to the First Record button, but it will move to the previous phase item added.

The Next/Append New "VCR" button serves two purposes. When in the middle of the range of added items, it will move to the next one on file. If on the last added phase item, it will ask you if you wish to add a new entry. If you click Yes, you will move to a new Add new items window that you can to enter data into. This lets you add multiple new items to a phase without your having to click Accept and exit the Add new items window after each addition.

The Last Record "VCR" button works the same way, but will take you to the last added item.

The Delete button allows you to delete the phase item you are on. @Quote Plus 32 will ask for confirmation and delete the current record PERMANENTLY.

Note that the field located to the right of the Delete "VCR" button contains an indicator of which record you are on out of how many total you have added. Also note that once you click Accept, all the newly added items will be saved, and you will be returned to the Phase screen.

Close: Click this button to exit the Add new items window without saving any changes you made.

Keep in mind that any items added to the phase grid will be inserted in the list exactly where the cursor was when you clicked Add, pushing the highlighted item (and all items listed below it) down to insert the new items.

Also note that all math on the Add new items window will update automatically whenever you change the Workarea, Difficulty, Amt Req or Override fields, as well as when you select an item from inventory in the Item Lookup window.

 

Add a Phase or Sequence Name

Sometimes you need to add a phase name or sequence (workarea) name on the fly when you are creating/editing a phase item and going back to the table on the Phases/Sequences tab is not handy. In both the Add a new items window and Edit item window, you can add a single phase name or sequence name by clicking Edit in the upper left corner of the window and selecting either Add Phase Name or Add Sequence Name. Based upon what you select, one of the following windows will open up:




Enter the new name here then click OK. Once added, the new phase or sequence name is immediately available for use on the dropdown list.
