Getting Started
This page contains a number of tips designed to make it easier for you to get up and running on @Quote Plus 32. You may want to print this page and use it as a "setup" check list. If you have any questions during this set up process, please don't hesitate to contact your HERO Data Services representative.
Company Defaults
When getting started with @Quote Plus 32, the first thing you want to set up is the defaults. They can be found found under Maintence -> Defaults. The first defaults tab you will see is Company defaults. Enter your company information on the Company defaults tab.
Price Level Names
Next, you need to enter the names of your price levels on the Inventory defaults tab. It is highly recommended that you set the Price Level Names you know you will use BEFORE you begin entering ANY data into @Quote Plus 32. See Price Level Namesfor information on how to set them up.
Other Defaults
You should also go through each of the other defaults tabs and set up additional defaults. While you don't NEED to set up all your defaults right away, many of our clients have found it helpful to do so. Some of the defaults, however, should be set up now as they are needed to properly set up your clients, jobs, phases and inventory. They include:
General defaults
Client defaults
Job defaults
Phases/Sequences defaults
Inventory defaults
Employee defaults
The rest of the defaults, such as the Proposal, Invoice and Work Order defaults, can--but don't need to--wait until you start using those features.
Users
Next you are going to want to set up your users. Note that you can set up a new user or just click on one of the sample users that came with @Quote Plus 32 and type over its information. Whichever option you choose, simply type in the desired User ID and Password, and check the fields you want the user to have access to.
Salespeople
You should also set up your salespeople, as this information is needed for setting up your clients and jobs.
Inventory
Next, you should enter your Inventory, as it will be needed to set up each job's phases. Use the New Item and Copy to New commands to add intentory items. Note that you cannot delete any of the sample inventory items that came with @Quote Plus 32 (you can only retire them); however, you can edit any sample inventory items so that it meets your needs.
Blow-In Materials
With respect to setting up blow-in materials in inventory, we suggest you set up one main blow-in inventory item. When you receive a new shipment of blow-in material, add the new inventory into this item. (Or if you receive inventory from different manufacturers and want to keep track of that, set up a main blow-in item for each brand--Brand A blow-in, Brand B blow-in, Brand C blow-in.) Next you can set up blow-in inventory items for the different R-values with zero units in inventory, using the deduct fields to link each blow-in inventory item to the main item. This way you can have all the different R-values set up with their own Price Levels and Difficulty Levels while keeping track of your inventory amounts.
Clients/Jobs
Once all the basics have been set up in your system, you can start entering your clients and jobs. You can enter a client then all its jobs, or you can enter all your clients and then start entering jobs. These can be added all at once or as you go along. See Clients and Jobs for detailed information on how to set them up. Note that if you are running in demo mode, you can only enter up to 10 clients, with ten jobs each.
One thing you should consider when setting up jobs is the fact that you can create template jobs, which when used in conjuction with the Copy From command, are a streamlined way to creating new jobs.
