Users

 

Overview

The Users object is located in the left pane of the screen and is used to set up users on the system and determine what they are allowed and not allowed to do. Individual users are listed in alphabetical order under the Users object. Clicking on one of the individual users will open the corresponding Users form in the right pane of the screen. Enter and edit your information for that user here. Note that any items not specified for a user on the User form will not appear when they log in.

When setting up a new user, enter a user name in the User ID field and a password in the Password field. Note that @Quote Plus 32 allows currently logged in user to change his/her password "on the fly" by going to Utilities ->Change Password on the menu bar at the top of the screen. For additional information on this feature, see Change Password under Utilities Menu.

If the user plans on using the @Quote Plus 32 E-mailing feature, you must enter that user's e-mail address in the E-mail [021231] field. This will become the user's default e-mail address for @Quote Plus 32.

 

Fields

The various options (fields) are divided into rectangular sections that group related options together. For example, the Salespeople section lists all the controllable features about salespeople, and if you uncheck the Salespeople box, all the related fields are disabled automatically and the user will receive no access to the Salespeople object when he/she logs in. The object will not even appear on the screen. If you check the Salespeople box, the related fields are enabled and you can select what the user can and can't do with Salespeople.

Clients: The Clients options include:
  • The Price Level checkbox allows the user to change the client's default price level.


  • The Salesperson checkbox allows the user to change the client's default salesperson.


  • The A/R checkbox controls access to accounts receivable.


  • The Cr Limit checkbox allows the user to change the client's credit limit.


  • The Terms checkbox allows the user to change the client's terms.


  • The Status checkbox allows the user to change the client's status


  • The Delete checkbox allows the user to delete clients.

Jobs: The Jobs options include:
  • The Salesperson checkbox allows the user to changes the salesperson assigned to a job.


  • The Installers checkbox allows the user to add, edit and delete installers assigned to a job.


  • The Delete checkbox allows the user to delete jobs.


  • The Price Level checkbox allows the user to change the price level assigned to a job.

Inventory: The Inventory checkbox controls access to the Inventory object.

 

Salespeople: The Salespeople checkbox controls access to the Salespeople object. The following options are located under Salespeople:
  • The Commission checkbox allows the user to change the commission type and percentage for a salesperson.


  • The Delete checkbox allows the user to delete salespeople.

Users: The Users checkbox controls access to the Users object. The following options are located under Users:
  • The Delete checkbox allows the user to delete users.

Maintenance: The Maintenance checkbox controls access to the Maintenance menu. Under Maintenance:
  • The Defaults checkbox allows the user to change system defaults.


  • The Optimize checkbox allows the user to run database optimization.


  • The Activity checkbox allows the user to view logged-in user list and clear connections.

Reports: The Reports menu option will only appear if the user has been granted access to at least one of the Reports groups listed below:
  • The Client checkbox allows the user to view/print Client reports.


  • The A/R checkbox allows the user to view/print Accounts Receivable/Sales reports.


  • The Job checkbox allows the user to view/print Job reports.


  • The Inventory checkbox allows the user to view/print Inventory reports.


  • The Salespeople checkbox allows the user to view/print Salesperson reports.


  • The Other checkbox allows the user to view/print miscellaneous reports.

Miscellaneous: Under Miscellaneous:
  • [021231] The Faxing checkbox lets the user fax proposals, work orders, invoices and reports.


  • [021231] The E-mail checkbox lets the user e-mail proposals, work orders, invoices and reports.


  • The Base Cost checkbox allows the user to see base cost, and will set the Phase form to display costs and prices calculated on the base cost of items rather than the sell cost. Further, any reports that calculate material cost will ask if the user wishes to see base cost instead of sell cost.


  • The Post Checks checkbox allows the user to post checks, credits, and adjustments.


  • The Reverse A/R Trans checkbox allows the user to reverse accounts receivable transactions.


  • The Pay Comms checkbox allows the user to change whether or not a commission has been paid.


  • The Edit checkbox enables/disables the Edit button for the user when edit protection is enabled.


  • The Empl Util checkbox allows the user to enter/makes changes to an employee's coded earnings.

 

[030422] Later versions of @Quote Plus 32 use a "tree" view to assign user access to its various features, rather than the groups of related options as shown at the top of this page. The tree view gives you a greater ability to fine tune the access each individual user receives. An example of the tree view is below.


To the left of each of the listed user privileges, you will find a plus [+] sign. The plus sign indicates that there are related options listed under each of the main user privileges. Clicking the [+] next to a user privilege, or double clicking the privilege, will open the corresponding list of related options. For example, clicking on Allowed to edit Job Information will give you a list of job related privileges such as Allowed to change Job pricing levels and Allowed to delete Jobs.


Similarly, under Can access Reports, you will find a list of all the available reports.


As with the older version of @Quote Plus 32, checking the box next to a listed privilege gives the user access to the corresponding features in @Quote Plus 32. Unchecking a box, takes away user access.

The access given by checking each of the privileges is self-explanatory. Checking Allowed to delete Jobs gives the user the ability to delete jobs. Similarly, checking Can edit system defauts allows the user to set up and change the system defaults. If, however, you have questions regarding the access granted by any of the privileges, please do not hesitate to contact your HERO Data Services representative.

When setting up a new user, make sure you go through both the main privileges and their corresponding related privileges. Checking only the main privileges will just give them access to those main features. They will not have access to any of the underlying features until you actually check the necessary ones for those privileges.

 

Menu

To access the Users menu box, click on the desired User then right click. An example of this menu box is show below.


 

New: This command allows you to add a new user. It will open a window that asks you to enter a new user name. Upon entering the name, the corresponding Users form will open in the right pane in which you can select what the user will be allowed to access.

Copy to New: Use this feature when adding a new user who will be given access that is the same or similar to a user already in the system. For example, if all salespeople are going to have the same access, you can use this feature when adding new salespeople. Simply click on the user you are copying from, then right click, opening the menu box. Select Copy to New and a window will open asking you to enter the name of the new user. Enter the name and click OK. The User form for the new item will open in the right pane with boxes already checked--the information copied from the old user. From here, you can edit the User form as necessary.

Refresh Users: When adding users, this command allows you to "refresh" the list, allowing you to see the newly added users.

Delete: Allows you to delete the selected User object. @Quote Plus 32 will ask for confirmation and delete the current object and its corresponding data PERMANENTLY.
